Do my customers need to sign up or install anything?

No. You send them a link — it opens in any browser. For a quote they see the itemised job with your branding and tap Accept; for an invoice they see what's owed, your bank details ready to copy, and a Pay-online button if you've set one up. No account, no app, no password on their side — and you're notified the moment they open or act on it.

Can I send invoices from Grafta?

Yes. Every invoice is a clean PDF with your logo, your VAT treatment per line and your bank details — and it also has a share link the customer opens in their browser. The invoice shows "Opened" the moment they look at it, so you know it landed.

Can I customise how my quotes and invoices look?

Yes. Upload your logo, set your accent colour and choose a PDF layout style — classic, bold or minimal — so your paperwork looks like your business, not a generic template. It's all in Settings, and it's included from day one of the free trial, not held back as a paid extra.

Can customers pay an invoice online?

Two ways. Bank transfer: the invoice link shows your IBAN with a copy button and the invoice number as the payment reference — free, and Irish transfers arrive in seconds. Card: paste your own payment link (a free Revolut Pro link, or SumUp, Stripe, PayPal, Monzo, Square) into Settings once and every invoice gets a Pay-online button. Either way the money goes straight to your account — Grafta never holds it and takes no cut. When a customer taps "I've paid this", you're notified in the app, by email, and by a push notification on your phone if you've turned them on.

How do voice notes work?

Record a voice note, and our AI transcribes it and suggests actions — like creating a job, quote, or note. You review and approve everything before it's created. The recording is deleted as soon as it's transcribed — we keep the text, not the audio.

How does voice quoting actually work?

Say the job out loud — “quote for John in Naas, board upgrade, day and a half at €320, €450 in materials” — and Grafta drafts an itemised quote with labour and materials split into their own lines. You review every line before anything goes near the customer, and you can fix any of it with a tap. It's tuned for Irish accents and Irish names.

How do I know when a customer accepts a quote?

You're notified in the app, emailed, and — if you've turned on notifications — pushed to your phone the moment they tap Accept, and the quote is stamped with the date, time and the name of the person who accepted it — a clean record of what was agreed if a job ever goes sideways. The same link also lets them decline with a reason or ask you a question — you're notified either way, so silence stops meaning "maybe".

Can Grafta notify me on my phone?

Yes. Turn on notifications in Settings and Grafta pushes straight to your phone or desktop the moment something needs you — a customer accepts a quote, taps "I've paid this", you're assigned a job, or a recurring job is due. It works in the browser on Android and desktop; on iPhone, add Grafta to your Home Screen first, since Apple only allows web notifications for home-screen apps. Email backs it up either way, so nothing slips.

Can I take a deposit before starting a job?

Yes. State the deposit on the quote itself — "25% books the job" shows on the PDF and the accept page — then after acceptance, one tap creates the deposit invoice at that percentage, VAT handled correctly per line. When the job's done, invoicing the quote again bills only the remaining balance automatically, so the customer is never double-charged.

Can I send quotes by WhatsApp?

Yes. Every quote has an accept link you can copy and send by WhatsApp, text or email — whatever your customer actually reads. The PDF is there too if they want something to print.

Yes. On the Team plan, you can invite team members, assign roles (Admin or Employee), and assign jobs to specific people.

How does my accountant fit in? Do they need a Grafta seat?

Your accountant doesn’t need a Grafta account. Export your books as a CSV any time, or email any invoice PDF straight to them. No extra seats, no extra cost.

Does Grafta handle VAT?

Grafta tracks your income and expenses with VAT amounts. You can export a summary for your accountant. It's not a replacement for an accountant, but it makes their job much easier.

Does Grafta get VAT and RCT right for Ireland?

Accepted Answer

Grafta applies the VAT rate you choose on every line — 13.5%, 23% or 0% — and puts your VAT number and per-rate totals on Revenue-compliant invoices. I'm not VAT registered — can I still use Grafta?

Absolutely. Set your default VAT to 0% and every quote and invoice comes out clean with no VAT lines — which is exactly how an unregistered trader's paperwork should look. If you register later, flip the setting and per-line VAT is ready.

What happens when my trial ends?

Nothing is deleted. Your account goes read-only — every quote, invoice, customer and job stays exactly where you left it, and you can still log in and look at all of it. Subscribe whenever you're ready and you pick up right where you left off.

Is my data safe?

Yes. Your data is hosted in the EU, everything travels over TLS, and the most sensitive fields — like the bank details on your invoices — are additionally encrypted at field level with AES-256-GCM before they touch the database. Voice recordings are deleted after transcription. The Trust & Security page spells all of it out in plain English.

Can I export my data?

Yes. Download a full machine-readable export of everything from Settings whenever you like — that's your GDPR right, built into the app rather than hidden behind a support email. You can also export CSV summaries of income, expenses and VAT from the Finance page for your accountant — included from day one, trial included.
