Invoice before the van door shuts

The job you don't invoice today is the job you're chasing next month. Grafta turns a finished job into a proper, VAT-correct invoice in seconds — from the site, from the van, from wherever you're standing — and then makes it as easy as possible for the customer to pay you.

From accepted quote to invoice, no retyping

Create the invoice straight from the accepted quote — same lines, same prices, same per-line VAT at 13.5%, 23% or 0%. Numbering is sequential with no gaps, the way Revenue expects, and if an invoice has to be cancelled you void it with a reason — the number is preserved, so your books stay clean.

A link that gets you paid

Send the invoice as a link the customer opens in their browser — you'll see the moment it's first opened. The page shows your IBAN with a copy button and the invoice number as the payment reference, so bank transfers arrive labelled and reconcilable instead of as mystery lodgements.

Pay online — with your own payment link

Add your own payment link — Revolut Pro, SumUp, Stripe, PayPal, Monzo or Square — and the invoice page shows a Pay online button. The customer pays you directly through your provider: the money goes straight into your account, Grafta never touches it and takes no cut. And when a customer taps "I've paid this", you get an email telling you the money's on the way — the button notifies you, it never changes the invoice status on its own.

Deposits, stages and part payments

Raise a deposit invoice from an accepted quote at whatever percentage you choose — per-line VAT is preserved, and the final invoice automatically bills only the remaining balance, so a customer can never be double-charged. Record part payments as they land and the outstanding figure stays true.

Overdue? You'll know — and you'll have the words

Grafta flags invoices as they age and nudges you in-app with a polite reminder already written — you send it yourself by WhatsApp in one tap. Grafta never emails your customers; every message they get comes from you, from your number, in your name.

FAQ

Good questions

Are Grafta invoices Revenue-compliant?

Invoices carry your business details and VAT number, per-line VAT at the Irish rates (0%, 13.5%, 23%), and sequential numbering with no gaps. Voided invoices keep their number with a recorded reason, so your sequence stays intact for Revenue.

Does Grafta process the payment?

No — and that's deliberate. Customers pay you directly: by bank transfer using the IBAN on the invoice page, or through your own payment link (Revolut Pro, SumUp, Stripe, PayPal, Monzo, Square). Money goes straight to your account. Grafta never holds funds and takes no percentage.

How do deposits work?

From an accepted quote, raise a deposit invoice at the percentage you choose — 20%, 50%, whatever the job needs. Per-line VAT is preserved, and when you invoice the balance later it covers only what's left, so the totals always reconcile and the customer can't be double-charged.

Will I know when the customer looks at the invoice?

Yes — the share link records the first time it's opened, so you know the invoice was seen. And if the customer taps "I've paid this", you get an email straight away; you then confirm the money and mark it paid yourself.
